What a CRM costs, seat by seat

Seven CRM price lists read off the vendors' own pages: per-seat rates monthly and annually, what each bill actually scales by, the seat minimums, and the onboarding fees that are not in the sticker price.

What this site does

Seatcount reads CRM pricing pages and writes down what they say. Not what a vendor's sales team quotes, not what a directory listing remembers from last year, and not an average of both: the figure on the page, with the date it was read beside it.

Seven price lists are covered — HubSpot, Salesforce, Pipedrive, Zoho CRM, monday CRM, Freshsales and Close. Each is given both billing terms, the unit its bill actually scales by, its seat minimum where one exists, and the one-off fees that sit outside the tier card.

The entry prices, in one place

On annual billing, the cheapest tier that will hold a five-person team costs $9 per user per month at Freshsales, $12 at monday, $14 at Zoho CRM, $14 at Pipedrive, $25 at Salesforce and $35 at Close. HubSpot's Sales Hub Starter is showing $7 a seat under a limited-time offer for new customers, against a catalogue price of $20.

Multiply by five seats and those become $45, $60, $70, $70, $125 and $175 a month, with HubSpot's current offer at $35. That is the seat map above: one row per vendor, five seats filled, the bill at the end of the row.

What a seat price leaves out

Three things, and all three are on the price list once you know to look.

  • The billing term. Annual billing is between 7% and 34% cheaper here, depending entirely on which vendor and which tier — and it is usually paid up front for the whole year.
  • The seat minimum. One vendor sells seats only in fixed steps, so a team of seven buys ten. Others bundle seats into a base price, which has the same effect without using the word.
  • The one-off fee. One vendor requires four-figure onboarding on its upper tiers and prints it on the card. Most publish nothing, which is not the same as charging nothing.

Every page here gives the figure, the date and the page it came from, so you can check the working rather than take our word for it.

Five questions before you price a CRM

How much does a CRM cost per user per month?
Between $9 and $550 a seat a month on the seven price lists read here on 24 September 2026. Freshsales Growth is the cheapest paid entry at $9 a user a month on annual billing; monday CRM Basic is $12, Pipedrive Lite $14, Zoho CRM Standard $14, Salesforce Starter Suite $25 and Close Essentials $35. At the top, Salesforce Max is $550 a user a month billed annually. A seat price on its own is not the bill: seat minimums, required onboarding fees and per-company add-ons all sit outside it.
Is annual billing actually cheaper than paying monthly?
Yes on six of the seven, and by very different amounts. Pipedrive Growth is $24 a seat a month annually against $34 monthly; Zoho CRM Standard is $14 against $20; monday CRM Basic is $12 against $18; Freshsales Growth is $9 against $11. Close is the outlier at both ends — Solo falls from $19 to $9, but Scale only drops from $149 to $139. Salesforce charges $25 for Starter Suite whichever term you pick, and prices everything above it on annual billing only. The saving is real, but so is the commitment: monday takes the year in one upfront payment.
Which CRMs have a seat minimum?
monday CRM is the clearest case: its own FAQ says plans start from 3 users, and the seat selector on its pricing page only offers 3, 5, 10, 15, 20, 25, 30, 40, 50, 100 and 200+ seats, so a team of seven buys ten. HubSpot's published catalogue says Sales Hub is priced per seat with no additional seat minimums, but Marketing Hub Professional starts at $890 a month with 3 Core Seats included and Enterprise at $3,600 with 5 — a minimum spend wearing a different coat. Pipedrive, Zoho CRM, Freshsales, Close and Salesforce publish no seat minimum at all.
Do CRMs charge a separate onboarding or implementation fee?
HubSpot does, prints it on the pricing card, and makes it compulsory: $1,500 one-time for Sales Hub Professional and $3,500 for Enterprise, with Marketing Hub Professional at $3,000 and Enterprise at $7,000. Pipedrive's pricing FAQ goes the other way and says implementation is free on any plan over $400 a year. Salesforce, Zoho CRM, monday CRM, Freshsales and Close publish no onboarding fee — which is not the same as there being none, only that they do not print one, and Salesforce does price a Premier Success Plan at 30% of net licence fees.
What does the bill scale by, if not seats?
Seats are only one of three meters, and mixing them up is how a quote doubles. Sales tools mostly bill per seat. Marketing tools bill per contact: HubSpot Marketing Hub Starter includes 1,000 marketing contacts then charges $50 per extra 1,000, falling to $40 above 5,000. Records and usage form the third meter — monday CRM Basic caps active contacts and deals at 1,000, Close bundles AI credits per user, HubSpot sells credits at $0.010 each, and Pipedrive's LeadBooster is billed from $32.50 a month per company rather than per seat. Price the meter your team will actually trip.
