The short answer: what a CRM costs per seat
A mainstream CRM costs between $9 and $550 per seat per month, and every one of the seven price lists read for this page on 24 September 2026 opens under $40 a seat. Freshsales Growth opens at $9 a user a month on annual billing, monday CRM Basic at $12, Pipedrive Lite and Zoho CRM Standard at $14 each, Salesforce Starter Suite at $25 and Close Essentials at $35. HubSpot Sales Hub Starter is showing $7 a seat, but that is a limited-time rate for new customers against a catalogue price of $20.
Those are sticker prices, and a sticker price is not a bill. Three things move between the tier card and the invoice: the billing term you pick, the number of seats the vendor is willing to sell you, and the one-off fees that some vendors require before the subscription starts at all. This page prices all three.
The full price list, seat by seat
Every figure below was copied off the vendor's own pricing page, or its own published catalogue, on 24 September 2026. Where a vendor does not print a number, the cell says so rather than guessing — an estimate in a price table reads exactly like a fact.

Two cells deserve their footnotes read. HubSpot's $7 Starter rate sits under a banner on HubSpot's own pricing pages that says "Save up to 65% on Starter… New customers only. Select offers available for a limited time"; $20 less 65% is $7, and HubSpot does not publish what the offer renews at. monday CRM's Ultimate tier is the other: the page says "custom price, tailored to your organization" and prints nothing, so neither does this table.
What the bill actually scales by
Seats are one meter of three, and buying on the wrong one is how a $14 CRM turns into a four-figure invoice. Sales CRMs mostly bill per seat, which is the easy case: multiply and you are done.
Marketing tools bill per contact instead. HubSpot Marketing Hub Starter includes 1,000 marketing contacts and then charges $50 a month for each extra block of 1,000, dropping to $45 between 3,001 and 5,000 and $40 above that. Professional starts at $890 a month with 2,000 contacts included and charges $250 per extra 5,000. Nothing about that scale has anything to do with how many people log in.
The third meter is records and usage. monday CRM Basic caps you at 1,000 active contacts and deals, Standard at 10,000 and Pro at 100,000 — so a small team with a big list is pushed up a tier by its data, not its headcount. Close bundles AI credits per user per month, from 500 on Solo to 2,000 on Scale. HubSpot sells credits outright at $0.010 each, or $10 a month for a capacity pack of 1,000, and the Sales Hub page quotes $9.00 per 1,000 when you pay annually.
Annual billing: what the discount really is
Every vendor here except Salesforce charges less per seat if you commit to a year, and the size of that discount varies far more than the marketing suggests.

Pipedrive is the clearest ladder: Lite is $14 a seat annually against $19 monthly, Growth $24 against $34, Premium $49 against $64, Ultimate $69 against $89. Zoho CRM runs $14 against $20 on Standard, $23 against $35 on Professional, $40 against $50 on Enterprise and $52 against $65 on Ultimate. Freshsales goes $9 against $11, $39 against $47, $59 against $71.
Two of the claimed headline savings do not survive arithmetic on the vendor's own numbers. monday CRM's toggle says "Yearly SAVE 33%" while its FAQ on the same page says "Choosing yearly plan for monday CRM pricing results in an 18% discount"; the prices themselves — $12 against $18, $17 against $25, $28 against $41 — work out at 33%, 32% and 32%, so the FAQ is the half that is wrong. Close advertises "SAVE UP TO 50%", which is true of Solo at $9 against $19 and nothing else: Scale only moves from $149 to $139, a little under 7%.
Salesforce is the exception that proves the rule. Starter Suite is $25 a user a month "billed monthly or annually" at the same price either way, and every tier above it — Pro Suite $100, Core $195, Advanced $395, Max $550 — is published on annual billing only, so there is no monthly figure to compare against.
The saving is real. So is the commitment, and it is worth reading what you are agreeing to: monday's FAQ says a yearly plan is "made in one upfront installment", and Pipedrive prices its annual tiers as one payment of $168, $288, $588 or $828 per seat per year.
Seat minimums, and the ones hiding inside a base price
Only one of these vendors prints a seat minimum in plain words, and it is monday CRM: its FAQ says plans start from 3 users, and the seat selector on the pricing page offers 3, 5, 10, 15, 20, 25, 30, 40, 50, 100 and 200+ and nothing in between. A team of seven therefore buys ten seats; at Basic that is $120 a month for seven people, not $84. Above 40 seats monday asks you to request a quote.
HubSpot's catalogue is explicit in the other direction — Sales Hub is "priced per seat for the Starter, Professional, and Enterprise editions — with no additional seat minimums" — and then reintroduces the idea by another route. Marketing Hub Professional starts at $890 a month with 3 Core Seats included, and Enterprise at $3,600 a month with 5. You cannot buy one seat of either. That is a seat minimum wearing a base-price coat, and it is the single biggest gap between HubSpot's cheapest and second-cheapest paid marketing tier.
Pipedrive, Zoho CRM, Freshsales, Close and Salesforce publish no seat minimum at all. Zoho's free edition is capped at 3 users and Close's Solo tier at 1 user and 10,000 leads, but those are limits on a tier rather than a floor under a purchase.
Onboarding fees: the four-figure line outside the sticker
HubSpot is the only CRM here that prints a compulsory onboarding fee on the pricing card itself, and it is not small. Sales Hub Professional carries a required one-time Professional Onboarding fee of $1,500; Enterprise, $3,500. On the marketing side the catalogue requires $3,000 on Professional and $7,000 on Enterprise. None of it is included in the per-seat price quoted beside it — HubSpot says so in its own footnote.

Put that into a first-year total for five people and the shape changes. Five seats for twelve months comes to $2,940 on Pipedrive Premium, $2,400 on Zoho CRM Enterprise and $11,700 on Salesforce Core. HubSpot Sales Hub Professional is $5,400 of seats plus the required $1,500 fee, which makes $6,900 — more than either mid-tier rival, less than Salesforce Core, and a number you cannot reach from the per-seat price alone.
Pipedrive goes the other way and says so in its FAQ: "implementation is free when you sign up for a pricing plan that's over $400 a year." Salesforce, Zoho CRM, monday CRM, Freshsales and Close publish no onboarding fee. That is not a promise there is none — an enterprise quote can carry professional services that never appear on a public page — only that nothing is published, and this page will not invent one. What Salesforce does publish is a Premier Success Plan priced at 30% of net licence fees, which is support rather than setup but lands on the same invoice.
Add-ons that are billed per company, not per seat
The last way a per-seat estimate goes wrong is an add-on that ignores seats entirely. Pipedrive's LeadBooster is listed "from $32.50 per month per company" — one charge however many people use it — alongside Projects from $16, Campaigns from $13.33, Web Visitors from $41 and Smart Docs from $32.50, which the pricing page lists as starting prices without stating their unit. Freshsales does the opposite and prices Branded documents at $19 per user per month, so that one scales with the team, plus a Freddy AI Agent at $49 per 100 sessions.
Salesforce sells the heaviest add-ons: Agentforce for Sales from $125 per user per month, an Agentforce user licence at $5 per user per month that requires Flex Credits, Flex Credits at $500 per 100,000, and Agentforce conversations at $2 each. Read which of those your quote assumes before comparing it with anything.
Mid-tier pricing, where most teams actually land
Entry tiers are shop windows. The tier that carries automation, sequences and permissions is usually one or two steps up, and that is where the gaps widen.

Zoho CRM Professional is $23 a seat a month annually, monday CRM Pro $28, Freshsales Pro $39, Pipedrive Premium $49, HubSpot Sales Hub Professional $90 and Salesforce Pro Suite $100. The spread between the cheapest and dearest mid-tier is wider than the entire entry-tier range — and the HubSpot and Salesforce figures still exclude, respectively, a required $1,500 fee and an add-on catalogue.
How to read your own quote
- Write down the number of people who need a login, then round it up to the nearest seat count the vendor will sell. On monday CRM that is 3, 5, 10, 15, 20, 25, 30, 40, 50 or 100.
- Pick the billing term deliberately. Take the annual rate if you will still be using this CRM in twelve months, and price the monthly rate if you are not sure, because on Pipedrive and Zoho CRM that decision is worth roughly a third of the bill.
- Add every one-off fee the vendor requires, not the ones it offers. HubSpot's $1,500 and $3,500 are compulsory; a Salesforce Premier Success Plan at 30% of licence fees is a choice.
- Check which meter each add-on runs on — per seat, per company, per contact, per credit — and multiply accordingly.
- Multiply out twelve months. A $35 difference per seat per month across five seats is $2,100 a year, which is the size of a whole cheap CRM.
Where these figures came from
Each price on this page was read on the vendor's own site on 24 September 2026: HubSpot from its Sales Hub pricing page and its published Product & Services Catalog, Salesforce from the Sales Cloud pricing page, Pipedrive, Zoho CRM, monday CRM, Freshsales and Close from their own pricing pages. Several of those pages render their prices in the browser and default to annual billing, so each was opened, switched to monthly, and read again.
Prices move without notice, and three of these vendors were running a dated offer on the day they were read. Treat every figure here as a reading with a date on it, open the vendor's page before you sign, and tell us when a number here has gone stale.
