CRM Cost for a Five-Person Team, Priced Seven Ways
Five people, seven price lists
Five seats on the cheapest tier that will actually hold five people costs between $45 and $175 a month, before any one-off fee. That is $540 to $2,100 a year, and the spread widens sharply once automation is required.
Five seats, entry tier, annual billing

Salesforce Starter Suite

Bars share one scale across the whole chart, so a longer bar is always a bigger bill.
Freshsales Growth is $45 a month, monday CRM Basic $60, Pipedrive Lite and Zoho CRM Standard $70 each, Salesforce Starter Suite $125 and Close Essentials $175. HubSpot Sales Hub Starter is $35 at its current new-customer offer rate and $100 at its $20 catalogue price.
Those come from per-seat rates of $9 at Freshsales, $12 at monday, $14 at Zoho CRM, $14 at Pipedrive, $25 at Salesforce and $35 at Close, multiplied by five and nothing else.
Why Close's entry figure is the odd one
Close's cheapest published tier is Solo at $9 a user a month, which would be $45 for five — except that Close's own card says Solo is "Limited to 1 user". The cheapest Close tier five people can buy is Essentials at $35, hence $175.
This is the most common way a five-seat comparison goes wrong: a per-user price on a tier that cannot hold your team is not a price you can pay. Check the user cap before multiplying, every time.

The same five seats with automation
Entry tiers are where teams start and rarely where they stay. Sequences, workflows and automated follow-up sit one or two tiers up almost everywhere, and the five-seat monthly bill moves accordingly: Zoho CRM Professional $115, monday CRM Pro $140, Freshsales Pro $195, Pipedrive Premium $245, HubSpot Sales Hub Professional $450 and Salesforce Pro Suite $500.
Close is the outlier again: workflows are excluded from Solo and Essentials and appear on Growth at $99 a user, so five seats of automated Close is $495 a month.
Year one, with the fees
Five seats for a year, with the fee the vendor requires
5 seats for twelve months at the annual per-seat rate, plus the one-off fee the vendor requires on that tier. A tier with no published fee shows subscription only.
Pipedrive Premium
$2,940 in year one
$2,940 of seats · no onboarding fee published
Zoho Enterprise
$2,400 in year one
$2,400 of seats · no onboarding fee published
HubSpot Professional
$6,900 in year one
$5,400 of seats + $1,500 required onboarding
Salesforce Core
$11,700 in year one
$11,700 of seats · no onboarding fee published
twelve months of seats one-off onboarding fee
Twelve months of five seats on those automation tiers: Zoho CRM Enterprise at $40 a seat is $2,400, Pipedrive Premium at $49 is $2,940, and Salesforce Core at $195 is $11,700. HubSpot Sales Hub Professional at $90 a seat is $5,400 of seats plus a required $1,500 onboarding fee — $6,900 in year one, and $5,400 in year two if nothing else changes.
Only HubSpot's figure carries a published fee. Salesforce, Zoho CRM, monday CRM, Freshsales, Close and Pipedrive publish none, and Pipedrive goes further and says implementation is free on any plan over $400 a year. A five-seat Pipedrive Lite account at $840 a year clears that line comfortably.
The four numbers that actually decide it
For a team of five, four questions settle the bill and none of them is the headline rate.
- Does the tier hold five people? Close Solo does not. Nothing else here caps a paid tier below five.
- Does the vendor sell five seats? monday CRM sells 3, 5, 10 and up, so five is exactly a step — but six people would buy ten.
- Do you need automation? If yes, price the automation tier, not the entry tier. That single decision moves the monthly bill from $45–$175 to $115–$500.
- Is there a required fee? Only HubSpot publishes one, and at five seats it is worth 3.3 months of the Professional subscription.
What the cheapest option is actually missing
Freshsales Growth at $45 a month for five is the lowest figure here, and it is a real product: kanban pipeline, lifecycle stages, email and phone, templates, custom fields and basic workflows. For a small team doing straightforward outbound-light selling, that is enough.
What it does not include is sequences, contact scoring or territory management, all of which are Pro at $39 a user. And if branded documents matter, that add-on is $19 per user per month — more than double the Growth seat it attaches to, which takes five seats from $45 to $140 a month, level with monday CRM Pro.
A worked shortlist
For five people, three shapes cover most cases, and each has a clear price.
- Cheapest that works: Freshsales Growth, $45 a month, $540 a year. Accept the gap above it.
- Best-value automation: Zoho CRM Professional, $115 a month, $1,380 a year, with the largest annual discount here. Accept the configuration effort.
- Platform bet: HubSpot Sales Hub Professional, $450 a month plus $1,500 once, so $6,900 in year one. Accept that it is roughly five times the Zoho figure, and price the Core Seat and Sales Seat mix before committing.
Whichever shape fits, run the numbers against the full CRM price list read seat by seat before signing, because three of these vendors were running dated offers on the day these figures were read.
What happens at the sixth hire
Five is a convenient number because it fits every vendor's steps. Six is where two of these price lists behave differently from the rest.
On monday CRM, the sixth person takes you from the 5-seat step to the 10-seat step: Basic goes from $60 to $120 a month, so six people pay an effective $20 a seat for a $12 product. On Close, the sixth seat is simply another $35 or $99 depending on tier. On Pipedrive, Zoho CRM, Freshsales, HubSpot and Salesforce it is one more seat at the published rate.
If you expect to hire within the year, that is worth pricing now: the annual commitment is taken at the seat count you buy, and adding seats mid-term is a change to the contract rather than a change to a monthly total.
The cheapest saving nobody takes
Before comparing vendors, count the people who need to create and edit records against the people who only need to look things up. HubSpot is the one vendor here that prices that distinction: a Core Seat at $50 a month against a Sales Seat at $100, and View-Only Seats that HubSpot's catalogue lists as available at no additional cost.
On a five-person team where two only read, that is the difference between five full seats and three, and it needs no negotiation, no annual commitment and no switch. Nobody else on this list publishes an equivalent, so everywhere else the only version of this saving is not buying the seat at all.
Reading the pages yourself
Every figure here is an annual per-seat rate multiplied by five seats, and where relevant by twelve months, plus any fee the vendor itself prints. Nothing is bundled, negotiated or estimated. All rates were read on the vendors' own pricing pages on 24 September 2026.
